German Basic Conversation 3

Chapter 6 · At Work: Meetings, Emails & Colleagues

🏢 At Work — Im Büro

Welcome a new colleague, take part in a meeting, agree deadlines, ask for something politely, write a short email, and phone in sick. The grammar this time covers the imperative (giving instructions and requests), wenn clauses ("if" and "whenever"), and the layout and phrases of a German email.

💬 Six Short Conversations — Gespräche

Read each one aloud, using the pronunciation line. CAPITALS show the stressed part of a word. The first four are formal (Sie); dialog 5 is between colleagues who say du.

Three verbs — drei Verben

Schreiben is regular. Besprechen ("to discuss") changes its vowel in du and er (du besprichst) and is not separable. Teilnehmen ("to take part") is separable and takes an + dative: Ich nehme an der Besprechung teil.

🧩 The Imperative — Der Imperativ

The imperative gives instructions and requests. German has three forms, one for each way of saying "you", and you've already used the polite one all through this course (Schicken Sie mir …, Rufen Sie an).

VerbSie (formal)du (one friend)ihr (several friends)
schickenSchicken Sie!Schick!Schickt!
wartenWarten Sie!Warte!Wartet!
kommenKommen Sie!Komm!Kommt!
anrufenRufen Sie an!Ruf an!Ruft an!
lesenLesen Sie!Lies!Lest!
gebenGeben Sie!Gib!Gebt!
seinSeien Sie!Sei!Seid!
How to Build Each Form Sie: the infinitive + Sie, with Sie after the verb (Schicken Sie). du: the verb stem with no ending (komm, schick); verbs ending in -t, -d or two consonants keep an -e for ease of speaking (warte). Verbs with e → i in the present keep the change (lies, gib, nimm), but umlauts disappear (fahr, not fähr). ihr: the same as the ihr present form (kommt, wartet). A separable verb sends its prefix to the end: Ruf mich an! And sein is irregular: Seien Sie, Sei, Seid.
Softening an Order A bare imperative can sound abrupt, so add bitte (Schicken Sie mir bitte die Datei), or turn the request into a question: Können Sie mir bitte die Datei schicken? In a business setting, an even more polite version is Könnten Sie mir bitte die Datei schicken? This könnten ("could") belongs to the "would / could" forms that are explained in Chapter 10. Learn it now as a ready-made polite opening.

🔀 wenn — "If" and "Whenever"

Wenn works like weil, ob and dass from the last chapters: the conjugated verb goes to the end of the wenn part. It means "if" (a condition) and "whenever / when" (something that happens in the present or future).

wenn at the endwenn at the start
Rufen Sie mich an, wenn es Probleme gibt.Wenn es Probleme gibt, rufen Sie mich an.
Ich melde mich, wenn ich fertig bin.Wenn ich fertig bin, melde ich mich.
Wir fangen an, wenn alle da sind.Wenn alle da sind, fangen wir an.
Komm nach, wenn du Zeit hast.Wenn du Zeit hast, komm nach.
The Verb Follows the Comma When the wenn part comes first, the whole clause counts as one "first position" in the main sentence, so the main verb comes straight after the comma: Wenn es Probleme gibt, rufen Sie mich an, not … Sie rufen mich an. You saw the same pattern with weil in Chapter 2.
wenn, wann or als? Wann is only a question word: Wann beginnt die Besprechung? ("When does the meeting start?"). Wenn is "if" and "whenever": Wenn ich Zeit habe, …. For a single event in the past ("when I was a child"), German uses als, which you'll need in Chapter 7: Als ich ein Kind war, …

📧 Writing an Email — Eine E-Mail schreiben

German business emails follow a fixed shape: a subject line, a greeting, a short, clear message and a closing. Here is a formal one that uses almost everything from this chapter.

Formal Email Betreff: Besprechung am Donnerstag

Sehr geehrte Frau Keller,

vielen Dank für Ihre E-Mail. Leider kann ich am Donnerstag nicht an der Besprechung teilnehmen, weil ich einen Kundentermin habe. Könnten wir die Besprechung auf Freitag verschieben? Im Anhang finden Sie die Tagesordnung. Wenn Sie Fragen haben, rufen Sie mich bitte an.

Mit freundlichen Grüßen
Anna Meyer
Informal Email (to a colleague you say "du" to) Betreff: Datei für morgen

Hallo Tom,

kannst du mir bitte die Datei schicken? Ich brauche sie bis heute Abend. Danke dir!

Viele Grüße
Anna

Note the lowercase after the greeting's comma (vielen Dank), and that Sie, Ihr, Ihnen are always capitalised in formal writing, while du, dein, dir are lower case.

Real German Tip — Sie or du at Work? Start with Sie and the surname (Frau Keller) with anyone you don't know, including new colleagues, unless the company culture is clearly informal. Many companies, especially in technology, start-ups and creative fields, use du and first names throughout. If you're not sure, wait for the other person to offer: Wir können uns gern duzen ("we can say du"). Usually the older or more senior person makes the offer. Being on time is taken seriously, for meetings above all, and apologising briefly if you are late (Entschuldigung, ich bin zu spät) is expected.
Real German Tip — Calling in Sick In Germany you're expected to tell your employer as early as possible when you're ill and how long you expect to be away. The usual rule is that a doctor's note (Krankschreibung) is needed if the absence lasts longer than three calendar days, although an employer may ask for one from the first day, so check your contract or ask Ab wann brauche ich eine Krankmeldung vom Arzt?

✍️ Try It Yourself — Übungen

Say each answer out loud first, then click to check. Choose the right imperative form for who you're speaking to.

1. Ask a colleague you call Sie to send you the file, please.

Show answer

Schicken Sie mir bitte die Datei. (Verb first, then Sie.)

2. Ask a friend (du) to wait a moment.

Show answer

Warte bitte kurz. (Stem + -e after -t; no du.)

3. Say you'll call if there are problems.

Show answer

Ich rufe an, wenn es Probleme gibt. (Gibt goes to the end of the wenn part.)

4. Say the same thing, starting with Wenn.

Show answer

Wenn es Probleme gibt, rufe ich an. (The main verb rufe comes straight after the comma.)

5. Say you can't take part in the meeting because you have a customer appointment.

Show answer

Ich kann nicht an der Besprechung teilnehmen, weil ich einen Kundentermin habe. (Teilnehmen goes to the end after kann; an + dative der Besprechung; habe is last after weil.)

6. Ask whether you can postpone the meeting to Friday.

Show answer

Können wir die Besprechung auf Freitag verschieben? (Verschieben auf + a day or time.)

Coming Up in Chapter 7 You can now cope with a working day in German. Next: telling your story: childhood, school and life so far. It's where the past tense of sein and haben (ich war, ich hatte) and als come in.
